Sign up for FlowCaptain, create a workspace, and complete the onboarding wizard.
Create Your Account
1. Sign Up
Go to flowcaptain.com and click Get Started. Sign up with your email address and a password, or use Sign in with Google. If you sign up with email, you'll receive a confirmation email — click the link to verify your account.
2. Create a Workspace
After signing in, you'll be prompted to create your first Workspace. A workspace is a shared space where you and your team manage assistants and calendars. Choose a name for your workspace (e.g. your company name).
3. Onboarding Wizard
The onboarding wizard sets up your first AI assistant:
Step 1 — Name & Language Give your assistant a name (e.g. "Reception" or "Workshop Hotline") and choose its language (German or English).
Step 2 — Capabilities Choose what your assistant should be able to do: Booking, Cancellation, Rescheduling, Provide Information, Call Transfer, and Callback. You can change this at any time later.
Step 3 — Calendar (if booking is enabled) A guided calendar wizard creates your first calendar:
- Basics — Calendar name, default appointment duration, and calendar type (In-house appointment or Drop-off service)
- Location — Country (Germany, Austria, Switzerland) and federal state or canton. Your region is used to automatically check public holidays; the timezone is derived from it.
- Availability — Time slots for each day of the week, with multiple slots per day possible (e.g. for lunch breaks)
- Google Calendar — Share your Google Calendar with FlowCaptain's service account. The wizard shows you the exact email address and checks the connection live.
Step 4 — Test To finish, you test your assistant right in the browser via chat.
After completing the wizard, everything is ready to use. You can adjust every setting at any time — the assistant under Assistants, the calendar under Calendars.
Setup is best done on a computer — the onboarding wizard is only partially convenient on a smartphone.
