Assistant appointments & calendars
The assistant's appointment rules and the calendars it books into.
Assistants › Assistant name › Appointments & calendars
This is where you set how the assistant hands out appointments and which calendars it books into. The Appointment rules come first, the calendars below them.
Appointment rules
The rules apply to every calendar of this assistant.
- Max. suggestions: how many appointment suggestions the assistant offers per request at most, 1 to 5 (default: 2).
- Require service selection: when on, the caller must choose a service from your catalogue. When off, the assistant works out the right service from what the caller says. If several fit, it asks.
- Verification mode: how the assistant checks that callers are who they say they are before it names, moves or cancels existing appointments. SMS verification: the caller confirms with a code by text message that the number on the appointment is theirs. Trust (no verification): the assistant doesn't check.
- Naming the resource: whether the assistant says who or what handles the appointment: Name it actively, Only when asked or Never name it.
On the call:
- The caller hears at most as many free times at once as Max. suggestions allows.
- With SMS verification: if the caller rings from the number on the appointment, the call goes on without a code. Otherwise the assistant sends a code to that number before naming or changing existing appointments.
- With Name it actively, the assistant says by itself who or what handles the appointment, e.g. "Lift 2". With Only when asked, it names it only when the caller asks. It uses the Name for the call you set on the calendar under Calendar settings, never the calendar name. Without a name set, every level behaves like Never name it.
Assigned calendars
The calendars this assistant books into. Unassign removes one.
Available calendars lists the calendars of your workspace that don't belong to an assistant yet. Assign calendar gives one of them to this assistant.
On the call: the assistant offers times only from its assigned calendars and books only there. Without an assigned calendar it cannot manage appointments.
Good to know
- A calendar always belongs to exactly one assistant. If it isn't under Available calendars, another assistant already has it.
- With Appointment booking on and no calendar assigned, a Configuration notice appears above the tabs.
- Naming the resource only works with a Name for the call on the calendar.
