Assistant

What an assistant is, how to create one, and what the overview next to each assistant shows.

Assistants › Create assistant

The assistant answers your calls. It has a name, a language, a phone number and the calendars it books into. What it knows about your business comes from the workspace: Business, Services and Knowledge base apply to every assistant alike.

Most businesses need one assistant. Add a second when part of your business should sound different or hand out different appointments, for example a separate number for the workshop.

Create an assistant

In the sidebar, under Assistants, click Create assistant. The dialog has two steps:

  1. Name and Language. The name is internal; callers never hear it. The language is the one the assistant speaks with callers.
  2. Capabilities. All of them are preselected. You can change them at any time later.

Create assistant takes you to its Settings. Every assistant has four tabs: Settings, Appointments & calendars, Test and Phone.

Overview

Next to every tab you see the assistant's overview:

  • Phone number: the number it answers on, or None.
  • Assigned calendars: the calendars it books into.
  • Capabilities: what it may handle for callers.
  • Language, Formality and Tone.
  • Custom greeting and SMS verification: a tick when set. If your greeting doesn't mention the current business name, Doesn’t mention the current business name appears below it.

Notices above the tabs

  • Your assistant does not know your business yet: the business name or trade is missing under Business. The assistant then cannot tell callers whom it speaks for. Testing still works. Complete business details takes you there.
  • Configuration notice: Appointment booking is on, but no calendar is assigned. Callers then cannot book. Assign a calendar under Appointments & calendars.

Good to know

  • A calendar always belongs to exactly one assistant. For another assistant to book into it, unassign it first.
  • An assistant without a phone number takes no calls. You can still test it in the browser.
