Calendar settings
Name, country and region, the Google Calendar connection, the name for the call, and deleting a calendar.
Calendars › Name › Settings
This tab changes a calendar's basic data and its connection to Google Calendar. FlowCaptain saves changes automatically.
Edit Calendar
| Field | Meaning |
|---|---|
| Calendar Name | The name in the sidebar. Ideally the same as the Google Calendar's. The assistant never reads it out to callers. |
| Calendar Slug | Derived from the name and changes with it. It is unique within your workspace and identifies the calendar in the API. You cannot edit it by hand. |
| Calendar Type | In-house appointment or Drop-off service. Display only; it cannot be changed after the calendar was created. |
| Country | Germany, Austria or Switzerland. It sets the timezone, for example Europe/Berlin for Germany. |
| State or Canton | The region for public holidays. If you change the country, you pick the region again. A region that does not exist in the chosen country is refused with This region does not exist in the selected country. Please choose one from the list. |
Below country and region sits the Google Calendar connection. Its row shows the state, such as Calendar connected with the Google Calendar's name, or Read-only access — write permission required. Expand it to see the sharing steps in Google, the email address to share with, and the Google Calendar ID field. Disconnect Calendar removes the connection. The details are in Connect Google Calendar.
On the call: On public holidays in your region the assistant offers no appointments. If someone asks about a holiday, it says that day is a public holiday and helps find another day. FlowCaptain also knows holidays that apply only in some states or cantons. With No holiday checking, only nationwide public holidays apply; holidays of individual states or cantons are not checked. All times in the call are in the country's timezone; the timezone of your Google Calendar plays no part.
Name for the call
This is what the assistant calls the person or resource behind this calendar on the phone, for example "Lift 2" or "Ms Berger". Enter the name and click Save name. At most 120 characters, plain text without line breaks. While the field is empty, it shows No name for the call yet – without one the assistant names nobody.
On the call: When a caller asks for this person or resource, the assistant recognises them by this name. Whether it also says the name on its own is set on the assistant under Naming the resource (Appointments & calendars). Without a name it names nobody. It never reads out the calendar name.
Shared times
Sometimes the same person or resource stands behind two calendars: a workshop that takes repairs as drop-offs and does consultations on site, both in one Google Calendar. That means one calendar with Drop-off service and one with In-house appointment, using the same Google Calendar.
If you enter a Google Calendar ID that another calendar already uses, FlowCaptain asks: Do both appointment types belong to the same person or resource?
- Yes, the same one: the two calendars are linked. FlowCaptain then asks which appointment type callers book more often in this calendar.
- No, a different one: then set up a separate Google Calendar for that person or resource.
If two calendars already use the same Google Calendar without being linked, FlowCaptain shows a notice at the top that the other calendar uses the same Google Calendar, with Yes, plan their times together or Later. Linked calendars show the Shared times section, and Linked calendars at the top, where you switch between the two. Remove the link separates them again, as long as neither has appointments booked.
Two calendars with the same appointment type cannot share a Google Calendar. Every further person or resource needs a Google Calendar of its own.
On the call: Whatever is booked in one of the two calendars is busy in the other. That prevents double bookings. Because the assistant now has to tell two appointment types apart, it helps when it asks for the service. You set that on the assistant.
Danger Zone
Delete Calendar removes the calendar. To confirm, you type its name. Appointments, closures and this calendar's conversation history are deleted permanently. API keys and services belong to the workspace and remain, as do the events in your Google Calendar.
Good to know
- After creating a calendar, check that the state or canton is right. With the wrong region, the assistant offers appointments on regional holidays or skips days you are open.
- If the connection shows Read-only, the assistant sees free times but cannot enter anything. Change the permission in Google to "Make changes and see all event details".
