Closures
Add vacation, company holidays, and other closure periods in FlowCaptain.
Closures
Closures mark periods when no appointments are available — e.g. vacation, renovation, or company holidays. The assistant automatically informs callers and states the reason.
You can find the settings in the calendar under the Schedule & Availability tab in the Closures section.
Adding a Closure
Add a closure and fill in the fields:
| Field | Description |
|---|---|
| Start Date | First day of the closure (inclusive). |
| End Date | Last day of the closure (inclusive). |
| Reason | Why you're closed (e.g. "Company vacation", "Renovation"). This is communicated to the caller. |
How It Works
When a caller asks about availability on a closed day, FlowCaptain responds with something like:
"We're closed from December 23rd to 30th for the holidays. Would you like me to check the next available day?"
Closures take precedence over availability — even if a day is normally open, no appointments are offered during a closure period.
Public Holidays
In addition to manual closures, FlowCaptain knows the public holidays for your region (configured in the calendar under Settings → Country & State or canton). On public holidays, the assistant automatically informs the caller, e.g.:
"We're closed on Monday for German Unity Day."
